This Privacy Policy explains how HelpMe Digital Ltd ("we", "us", "our"), the company behind HelpMe UK, collects, uses and protects your personal information when you use our website at helpmeuk.com, our mobile applications and our related services. We are the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, and we are registered with the UK Information Commissioner's Office (ICO) under registration number ZC149336.

1. Information We Collect

  • Google Sign-In data: If you choose to sign in with Google, we collect basic Google profile data: your name, email address and profile picture. We use this only for authentication and account creation.
  • Usage data: We track how many times you use each feature (letter analysis, form scan, etc.) to manage free plan limits.
  • Uploaded content: Letters and forms you upload are processed for analysis and are not stored permanently on our servers.
  • Device data: Basic device and browser information for analytics and improving performance.

  • Contract: to provide the services you sign up for.
  • Legitimate interests: to secure the service, prevent fraud and improve features.
  • Consent: where you explicitly opt in (e.g. optional features).

3. How We Use Your Information

  • To provide and improve our analysis, translation and guidance services.
  • To track usage and enforce free usage limits.

4. Google User Data

HelpMe Digital Ltd uses Google Sign-In for authentication. When you sign in with Google, we receive only your basic Google profile information: name, email address and profile picture. We use this information only to authenticate you and create or identify your HelpMe UK account. We do not sell Google user data, use it for advertising, or share it with third parties except where required to operate and secure the service.

5. Data Sharing

We do not sell your personal data. We may share data with:

  • Cloud infrastructure providers that securely host our services.
  • Smart processing providers used to analyse your letters and forms (content is not stored permanently).
  • Authorities where required by UK law.

6. Data Security

We use encryption in transit (HTTPS/TLS), encryption at rest, secure authentication and access controls in line with Article 32 of the UK GDPR. No system is 100% secure, but we follow industry best practices and will notify the ICO and affected users of any qualifying personal data breach within 72 hours where required.

7. Data Retention

We keep account data for as long as your account is active. Uploaded letters and forms are processed in memory and not stored permanently. Usage logs are retained for up to 12 months for fraud prevention and service improvement, then deleted or anonymised.

8. International Transfers

Some processors may be located outside the UK. Where data is transferred outside the UK, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or adequacy regulations under the UK GDPR.

9. Your Rights (UK GDPR & Data Protection Act 2018)

10. Cookies (PECR)

We use essential cookies only, for authentication and session management, in line with the Privacy and Electronic Communications Regulations. We do not use advertising or tracking cookies.

HelpMe UK is not intended for children under 13. We do not knowingly collect personal data from children.
